Experience preferred.

General Description of Work Performed:
Schedules all surgical procedures ordered by the health care providers in compliance with all Orthopedic Partners policies and procedures. May be assigned to assist in the clinical area.
Essential Job Functions:
- Achieves optimal public relations and customer service through positive communication; assuring that General Insurance Patients are called within 48 hours of surgical request receipt; overseeing follow-up for patients who were not scheduled or contacted; initiating contact with adjusters for all Workers’ Compensation Patients within 48 hours of surgical request receipt to obtain authorization and notifying patient that case is pending authorization; overseeing weekly calls to Adjusters to check status. Follows established financial services policies and procedures for insurance changes/denials and for patients with balances/no insurance. Returns all incoming calls on the same day and follows through to timely resolution.
- Achieves optimal physician support by monitoring all workflow in the Surgical Area; reviewing the surgical and provider schedules; and making adjustments as necessary to make full use of assigned surgical
time. Schedules cases accurately and thoroughly; coordinating all related appointments following established procedures/guidelines for scheduling, changing, bumping and canceling appointments; securing medical clearances and test results prior to scheduled surgical date. Effectively prioritizes task completion. - Accurately interviews each surgical patient; reviewing their medical history and identifying risk factors for surgery; assessing what preoperative tests and appointments need to be scheduled utilizing Pre-op Testing Guidelines; following up on reported abnormal studies and determining if further action is required.
- Works cooperatively and maintains timely, thorough communication with all providers, team members, hospital personnel, sales representatives and insurance adjusters concerning all aspects of coordination with scheduling, CPT and ICD.10 coding, instrument procurement and surgical authorization; documenting all actions for good communication and risk management.
- Initiates and reinforces preoperative patient education; reviewing surgical procedure with patient; explaining appointments and instructions following up with written materials. Assists in education and training of new employees with regard to surgical process. Assists staff in scheduling all cases booked during an office visit, including date selection and completion of paperwork. Effectively answers/resolves all staff questions/issues relating to surgical scheduling.
- Follows infection control policies and OSHA/HIPAA regulations to maintain a safe and secure environment; disposing of contaminated supplies; assisting in the completion of weekly and monthly quality assurance tasks. Initiates or assists with emergency procedures when necessary.

Primary Responsibilities:
Assists in managing the scheduling process of all surgical procedures ordered by the physicians in compliance with all Orthopedic Partners policies and procedures. Primary role in managing the scheduling process is to lend guidance, train and cover surgical coordinators assigned to specific doctors. The support coordinator will not permanently be assigned to an individual surgeon but may temporarily cover an individual physician during a vacancy, PTO, sick time, or other extended leave. Will be required to travel to all office locations and may be asked to perform clinical duties.
Position Requirements:
- Certified/licensed medical experience – must maintain current and active certification while employed.
- Minimum 2 years of surgical scheduling experience required.
- Experience in Orthopedics and/or Surgical Scheduling preferred
- Understanding of the broad concepts of Managed Care and Utilization Review
- Computer literacy; excellent organizational, audio, visual and vocal skills necessary; confidentiality
- Knowledge of OSHA and HIPPA guidelines
- Ability to work independently as well as a team member.
- Ability to spend the majority of the workday sitting, writing, and keyboarding and part of the workday standing, walking and bending, lifting positioning of overweight patients.
- Must divide time between all office locations.
- Trains all new staff hired for the surgical department.
